What's New in FormAssembly On-Site 2.0

Version 2.0 of FormAssembly On-Site is packed with new features and usability improvements. Here's a quick overview of what we added in this new release.

The user interface has been fine-tuned to be easier to use in a number of small but important ways. The graphic style has been updated and we included new features, such as custom predefined form elements, custom validation rules and custom error messages.

Custom Validation

Custom Validation with Regular Expressions

How to Create a Custom Validation Rule & Error Message:
  1. Start a new form in the Form Builder and click 'New Question'.
  2. In the 'Properties' tab, select 'custom' in the 'Format' menu, under 'Input Validation'.
  3. Enter a regular expression, and the appropriate message for a validation error. Refer to the documentation for more information and examples on regular expressions.

 

Branding of Public Pages

One of the first steps you may want to do when installing FormAssembly is to customize the look and feel of the public pages to match your organization's brand.

Branding public pages

You can access the Branding Editor in Admin | Settings | Form Settings. Click 'Edit the default branding for all forms'.

The public pages are the pages involved in form processing and therefore visible by respondents. This includes the page displaying the form itself, the submission confirmation page, the different pages involved in the save & resume option, etc..

The Branding Editor allows you to define a customized header and footer for those pages, and also customize the HTML <head> element to load your own scripts or stylesheets.

 

Easier Web Form Management

We redesigned the Forms tab to make it easier and faster to navigate through the different steps of creating and configuring your web forms.

The form you are currently working on will always be listed at the top of the list. You can also open or collapse categories to keep your list to a manageable size, and you can conveniently access all the different configuration pages and actions from a drop-down menu.

User-defined Form Elements

Predefined elements are building blocks that can easily be reused accross multiple forms. A user can now create their own predefined elements in the Form Builder.

How to Create a Predefined Element:
  1. Go to the Form Builder.
  2. Create the section you'll be using frequently.
  3. Select it in the Form Builder's outline.
  4. Select 'Create new from selection' in the Predefined Element menu.

By default, user-defined elements are private. Only a FormAssembly administrator can make predefined elements available to all.

The FormAssembly administrator can make a predefined element available to all in Admin | Forms | Predefined Elements.

 

Form Moderation

Form Moderation is an optional feature designed to help you enforce your organization's quality standards.

Moderated Users must request approval from a FormAssembly administrator or a designated moderator before their new form can be published.

Moderated Users are notified by a Moderation Message of the steps required to gain approval. This message can be customized by the Administrator to reflect your organization's approval process.

How to Create A Moderated User:
  1. Go to Admin | Settings | User Settings
  2. Edit the existing Author role, or create new role.
  3. Check the 'Must Request Approval' box, and any other permission needed.
  4. If you created a new role, assign the role to the desired users in the Admin | Users tab.
  5. Users must log out and log back in to update their permissions.

 

Customizing the moderation message
How to Customize the Moderation message.
  1. Go to Admin | Settings | Other Settings | Moderation.
  2. Under 'Moderation', 'Message', type the desired message. You may use the %%APPROVAL_LINK%% alias to display the link that must be shared with a moderator.
  3. Click 'Apply' to save.

The administrator can review the forms listed for approval in the Admin area.

If you assign the permission 'Can grant approval' to a role, any user with that role may approve a form for publication. Non-administrator users do not however have access to the moderation list. It is up to the user requiring approval to provide the moderation link to the moderator.

Administrators can review the moderated forms in Admin | Forms | Moderation.
